About the Role

Treasure Healthcare Services is seeking a dependable, organized, and experienced Healthcare Office Manager to support our growing home care and developmental disabilities service operations.

This is primarily an office-based position responsible for caregiver recruitment, interviewing, onboarding, scheduling, staff coordination, front desk coverage, and routine administrative support. The selected candidate must also be qualified to work as both a Home Health Aide (HHA) and Direct Support Professional (DSP) and may provide temporary backup coverage when a caregiver calls off or immediate client support is needed.

Key Responsibilities

• Manage daily office activities and maintain an organized, professional work environment
• Answer incoming calls and assist clients, families, employees, applicants, and visitors
• Post open positions and respond to employment applications
• Conduct initial interviews and assist with caregiver hiring decisions
• Coordinate employee onboarding, orientation, credential collection, and required documentation
• Help manage caregiver schedules, shift changes, call-offs, open shifts, and emergency coverage
• Communicate schedule updates with caregivers, clients, and families
• Maintain employee records, certifications, training documents, and related paperwork
• Follow up with employees regarding missing documents, training, or scheduling concerns
• Support routine caregiver supervision and help resolve basic employee concerns
• Participate in client and family meet-and-greets, including DODD service meetings
• Assist with coordinating HHA, DSP, personal care, companion care, and non-medical transportation services
• Provide temporary HHA or DSP backup coverage when necessary
• Report client, caregiver, scheduling, safety, or service concerns to management
• Protect client confidentiality and follow HIPAA, agency, and workplace policies
• Perform other reasonable office and administrative duties as assigned

Qualifications

• High school diploma or GED
• Previous experience as an HHA, DSP, caregiver, or direct-care professional
• Must be qualified to work as both a Home Health Aide and Direct Support Professional, or be able to complete any remaining required training before providing direct-care coverage.
• Experience with scheduling, home care, developmental disabilities services, healthcare administration, or office support
• Strong communication, organization, and time-management skills
• Ability to communicate professionally with clients, families, employees, and applicants
• Basic computer skills, including email, online applications, scheduling systems, and document management
• Ability to handle confidential information appropriately
• Valid driver’s license and reliable transportation
• Ability to pass required background checks
• CPR and First Aid certification, or willingness to obtain them
• Ability to work independently and manage multiple responsibilities

Preferred Experience

• Previous home care office, staffing, scheduling, or supervisory experience
• Experience interviewing, hiring, or onboarding caregivers
• Familiarity with DODD services, Medicaid waiver programs, Passport, or home health operations
• Experience handling employee call-offs and arranging emergency coverage
• Current HHA, DSP, CPR, First Aid, medication administration, or related credentials
• Experience communicating with families, guardians, case managers, or healthcare professionals

Schedule

Monday through Friday, 10:00 a.m. to 3:00 p.m., with paid weekend on-call responsibilities.

The employee will receive five hours of standby pay on Saturday and five hours of standby pay on Sunday, whether or not a staffing call occurs. While on call, the employee will be responsible for responding to caregiver call-offs, contacting qualified employees to arrange replacement coverage, and providing temporary HHA or DSP coverage when no replacement is available.

Additional active work or direct-care hours beyond the paid standby period must be documented and will be compensated according to applicable wage and overtime requirements.

Compensation

Pay is $20–$22 per hour based on experience, qualifications, certifications, and the candidate’s ability to perform both office-management and direct-care responsibilities.
